Brief

We were approached by the Italian Embassy to facilitate their exclusive Italian National Day celebration within Grosvenor Square Gardens, a public square garden in the heart of London’s Mayfair District, situated just outside the front of the Italian Embassy.

Previous events we have brought to life in Grosvenor Square include the Mayfair Coronation Garden Party and ‘Live in the Square’ – a programme of performances ranging from Sister Sledge to the English National Ballet.

The embassy’s vision was to commemorate this national day with an afternoon event, featuring a curated selection of Italian traders and entertainment for guests, and utilising creative placemaking to transform the space into a vibrant, culturally rich environment that reflects the essence of Italy.

What we did

We collaborated with the Italian Embassy to discuss their initial vision for the event, and how it could be implemented within a designated area of Grosvenor Square Gardens. Collaboratively, we crafted a comprehensive site plan delineating staging options and the optimal placement of entertainment, food, and beverage vendors within the public realm. The embassy provided us with a list of preferred food and beverage suppliers for the event including Lavazza, Napoli on The Road, Peroni, Campari, Eataly, Badiani Gelato and Etna Coffee, whom we liaised with to organise their setup and breakdown. Coordinating with our network of suppliers, we ensured that all necessary facilities and structures were in place to fulfil the event’s requirements.

In both the build and live stages of the event, we provided extensive support with logistics and handled event production, while facilitating services through our network of suppliers which included crewing, security, and medical assistance.

Deliverables

Event Production and Management – created a creative design deck, developed a budget and produced a detailed schedule of the event.

Stakeholder Management – liaised with the client and public realm stakeholders.

Logistics Management – created a sound logistical plan for the installation and de-rig of the event and working with multiple suppliers.

Health and Safety Management – advised the client on best practices and ensured compliance with all health and safety regulations.

Supplier Management – contracted and managed our own suppliers for the installation and de-rig of the event.
