We’ve worked with the incredible team at Grosvenor to deliver some iconic events in Grosvenor Square, including the Mayfair Coronation Garden Party and ‘Live in the Square’ – a programme of performances ranging from Sister Sledge to the English National Ballet.

Following the success of our event production services, Grosvenor – one of the world’s leading property companies – requested our team to produce an official Team GB Olympic Fan Zones in Grosvenor Square.

This was one of just nine official Team GB fan zones across the UK, celebrating the Olympic Games held in Paris, and we were excited to work on this unique project – working closely with the team at Grosvenor to bring their vision to life for this special, summer of sport event.

What we did

Our team worked closely with Grosvenor to deliver an event that offer guests of all ages a unique, sociable and memorable space to enjoy the games, while still aligning with the aesthetic of Grosvenor Square.

We Are Placemaking delivered creative production, licensing, documentation (ESMP, risk assessment), logistics management, sourcing and management of suppliers, stakeholder management and health & safety services, with the support of our sister agency, We Are OPS.

Production elements included bar and seating infrastructure, power and distribution, fencing, matting, toilets and flooring, lighting, wi-fi for traders and production, and water for guests. We also had security and medical presence throughout the event.

A key element of the event was creating a flow through the event that upheld the licensing law, and maintained a positive customer experience. So, as well as deck chairs, we incorporated an al fresco bar area behind so people could enjoy food and drinks with umbrella-covered tables, while still enjoying the action on the big screen.

Guests could choose from a range of food and beverage options, served from vintage Citreon vans or horseboxes surrounding the site. We opted for these vehicles to create a vintage, European aesthetic, as well as a Raja tents for the bar – ensuring the look and feel still blended seamlessly with the green space. Vendors included Pizza di Napoli, Masa, The Crepe Stop, Big Bro Espresso, Souvlaki By, Buttercup Bus Vintage Campers, Fabulous Coffee Co and Sen Noods.

The event also offered activities that could be enjoyed by guests of all ages, including mini-Olympics, arts & crafts, and even some meet and greets with Team FB Olympians such as Team GB hockey gold medallist Shona McCallin MBE.

The fanzone was a great success, with approximately double the amount of visitors that would normally frequent the space. The event also gathered significant media coverage throughout the games, and Grosvenor recorded a remarkable 1.2 billion media reach.

Celebrating the success of the news, a member of the Grosvenor team said: “It was inspiring to see the community come together in such a vibrant celebration of our athletes. A big thank you to everyone who helped make this event a success!”

Bringing this event to life with Grosvenor and for thousands of guests was a pleasure, and – sports lovers or not – it was incredible to see the joy and community feel that the event brought to the space.

Deliverables

Event and production management: creating a creative design deck, developing a budget and producing a detailed production schedule of the event.

Stakeholder Management: liaising with the client and the public ream stakeholders.

Logistics Management: creating a sound logistical plan for the installation and de-rig of the event, and working with multiple suppliers.

Sourcing and management of all suppliers: daily consultation, management and ownership of the supply chain.

Nick Morgan is CEO of We Group which is made up of three agencies: We Are Placemaking, The Fair and We Are OPS. Nick is a well-respected figure in the events industry. He sits on the High Streets Task Force as a mentor / facilitator and works with councils across the UK looking at void strategies. He also works with urban planners, advising on how to animate public realms for customers and communities.

Nick speaks on topics that include experience economy, government advocacy, placemaking, licensing and health & safety, at industry events including the Event Production ShowLAEOG, NOEA, The All Parliamentary Group for Events, and FestForums in the US, as well as at universities across the country.
